Who we are
SMARTCERBERUS is a software development, hosting, and managed infrastructure business based in Montreal, Quebec, Canada. This policy covers this website and the contact and quote forms on it. Orders, billing, and support tickets are handled in our client portal at clients.smartcerberus.com, which shows its own notices when you use it.
We handle personal information in line with Quebec's Act respecting the protection of personal information in the private sector and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Person in charge of personal information
The person in charge of the protection of personal information at SMARTCERBERUS is our President. You can reach them at [email protected] for any question, request, or complaint about this policy or your personal information.
What we collect
We only collect what you choose to send us and what is needed to run the website securely.
- Contact form: your name, email address, and message, plus your company name, phone number, area of interest, and subject if you provide them.
- Quote request form: your name and email address, a description of your project, and, if you provide them, your company name, phone number, project type, budget range, timeline, and an attached file.
- Technical data: your IP address, browser type, and the page you submitted a form from, which we use to keep the website secure and to limit spam and abuse.
Why we use it
We do not sell your personal information, and we do not use it for advertising or send you marketing emails without your consent.
- To answer your message or prepare the quote you requested.
- To follow up on the same request, for example to clarify scope or send a proposal.
- To protect the website and our forms against spam, fraud, and abuse.
Cookies
This website only uses cookies that it needs to work: a session cookie, a security token that protects forms (XSRF-TOKEN), and a cookie that remembers whether you chose English or French. We do not use advertising or analytics cookies. If we add analytics later, we will update this policy and ask for your consent where the law requires it.
Who we share it with
Only our team members who need your request to answer it can see it. We rely on a small number of service providers to run the website, and they only process your information on our behalf:
- Our hosting provider, which stores the website and its database.
- Cloudflare, which delivers the website and protects it against attacks.
- Our email provider, which delivers form notifications to our team and the confirmation email to you.
Some of these providers may store or process information outside Quebec. Before doing so, we assess whether the information will be adequately protected, and we bind providers by contract to keep it confidential and secure.
We may also disclose information when the law requires it.
How long we keep it
We keep form submissions for as long as we need them to answer and follow up on your request, and for no more than three years after our last exchange unless you become a customer. Customer records are kept for as long as the law requires, for example for accounting and tax purposes. After that, we delete or anonymize them.
How we protect it
The website is served only over HTTPS. Access to submitted requests is limited to authorized team members with individual accounts, and we apply security updates regularly.
If a confidentiality incident presents a risk of serious injury, we will notify you and the Commission d'accès à l'information du Québec as the law requires.
Your rights
You can ask to see the personal information we hold about you, have it corrected or deleted, withdraw your consent, or receive it in a commonly used technological format. Send your request to [email protected]. We will answer within 30 days.
If you are not satisfied with our answer, you can file a complaint with the Commission d'accès à l'information du Québec (www.cai.gouv.qc.ca) or the Office of the Privacy Commissioner of Canada (www.priv.gc.ca).
Changes to this policy
We will post any change on this page and update the date at the top. If a change affects how we use information you already gave us, we will ask for your consent where the law requires it.
